How to Update Your Email Signature in Outlook (PC and Mac)


NOTICE: Standard Signature Blocks for Salt Lake Community College

Beginning August 31, 2025, all Staff, Faculty, and Adjunct employees need to begin using a new signature line when sending out any electronic communications.  Below are the steps to set up and initiate an e-mail signature.

 

UPDATE YOUR EMAIL SIGNATURE IN MICROSOFT OUTLOOK HOW TO ACCESS SIGNATURE TEMPLATES

  1. Click on the templates link on the SLCC Intranet - Email Signatures | SLCC.
  2. Select the signature you prefer.
  3. Click 'Copy this signature'.
  4. Follow the steps for changing your signature using the corresponding steps below depending on your Outlook client.

**Be aware that not all platforms synchronize (i.e. you may have to update your signature manually on multiple devices or browsers).

 

WINDOWS USER: “CLASSIC” OUTLOOK DESKTOP APP

  1. Open the Outlook desktop app.
  2. Click 'File' in the top left corner.
  3. Select 'Options'.
  4. In the pop-up window, click 'Mail' on the left.
  5. Click the 'Signatures...' button.
  6. In the 'Email Signature' tab, click 'New'
  7. Name your signature then click ‘OK’.
  8. Put your mouse in the signature box and either CTRL-V or Right click and paste the copied signature box.
  9. Format your signature in the box (e.g., name, title, contact info).
  10. Under 'Choose default signature', select your new signature for new messages and replies/forwards.
  11. Click 'OK' on both windows to close them. Your signature is now saved and active.

 

WINDOWS USER: NEW OUTLOOK DESKTOP APP

  1. Open the Outlook desktop app.
  2. Click the gear icon Single gear outlinein the top right corner.
  3. Navigate to ‘Accounts’ on the left-hand side then click on ‘Signatures’
  4. Click ‘+ New Signature’
  5. Name your signature using the “edit signature name” field.
  6. Put your mouse in the signature box and either CTRL-V or Right click and paste the copied signature box.
  7. Format your signature in the box (e.g., name, title, contact info).
  8. Click ‘Save’
  9. Under ‘Select default signatures', select your new signature for new messages and replies/forwards.
  10. Click 'Save'.
  11. Close the window. Your signature is now saved and active.

 

MAC USER: NEW OUTLOOK DESKTOP APP

  1. Open the Outlook desktop app.
  2. Click on 'Outlook' in the top menu bar.
  3. Select 'Settings'.
  4. Click on 'Signatures'.
  5. Click the '+' button to create a new signature.
  6. Name your signature.
  7. Put your mouse in the signature box and either CMD-V or right click and paste the copied signature box.
  8. Format your signature in the box (e.g., name, title, contact info).
  9. Click ‘Save’ then close the window.
  10. Under 'Choose default signature', select your new signature for new messages and replies/forwards.
  11. Close the window. Your signature is now saved and active.

 

ONLINE WEB VERSION: (FOR BOTH WINDOWS AND MAC)

  1. Go to https://outlook.office.com.
  2. Single gear outlineClick the gear icon in the top right corner.
  3. Navigate to ‘Accounts’ on the left-hand side then click on ‘Signatures’
  4. Click ‘+ New Signature’
  5. Name your signature using the “edit signature name” field.
  6. Right click and paste the copied signature into the signature box
  7. Format your signature in the box (e.g., name, title, contact info).
  8. Click ‘Save’
  9. Under ‘Select default signatures', select your new signature for new messages and replies/forwards.
  10. Click 'Save'.
  11. Close the window. Your signature is now saved and active.
